Privacy Policy
The short version: browsing this site stores nothing personal about you unless you create a portal account, buy our service, or say yes to the cookie banner — and talking to us happens on WhatsApp, by phone, or in your portal, never through hidden forms.
Who we are
TheraPlatz ("we") helps you find and book psychotherapy appointments in Germany. TheraPlatz is a service of SIA "ART RIGA FAIR", Stabu iela 6 - 8B, LV-1010 Rīga, Latvia, which is the controller for the data described here. You can reach us at [email protected] or +49 1609 2629 757.
What we don't collect
Browsing this website requires no account (anyone can create an optional portal account, described below). We never ask for health information here: not what you are seeking therapy for, not a diagnosis, not symptoms. The one form on the site is the booking form shown after payment, and it asks only about practical preferences (see below). Anything you tell us on WhatsApp or by phone stays in that conversation; we do not record it. Messages you send us in the portal are different: those are stored on our server in the EU and kept until your account is deleted (see below).
The form after booking
Once your payment is confirmed we show a short form so we can start searching. It asks for a phone number so we can reach you when a slot opens, where you are (postcode or area), which language you want your sessions in, your insurance type, when you are usually free, whether you want individual or couples sessions, in person or online, and whether you have a preference about your therapist. That is all. We deliberately do not ask what you need therapy for, because that would be health data and we do not want it in our systems. The answers are stored in our customer system (below) and used only to find suitable practices for you. The form is optional: you can tell us the same things on WhatsApp or by phone instead.
Your account and messages
Anyone can create a portal account with just an email address; as a customer you can use it to follow your search and write to us. Creating an account stores your email address and the times you log in. Logging in works with a one-time code sent to your email, so we never store a password. To keep logins safe we briefly keep the IP address a code was requested from and your browser info: login codes are deleted after 24 hours and expired sessions within 7 days. The portal shows the status of your booking, and any messages you choose to send us there are stored on our server in the EU (Scaleway, Paris) and read only by the two people running this service. Message content is never included in notification emails, and you do not need to share medical details to use the service. So that we can help when an email does not arrive, we keep a log of the emails we send you (the address, the subject and whether our email provider accepted it, never the text) for 90 days. The therapist search in the portal has an optional map, and opening it loads the map images from OpenStreetMap, which means that service sees your IP address, so we ask first and load nothing until you say yes. To delete your account, just email us at [email protected]. Deleting it removes the account together with its messages, timeline and login records; our short-lived server backups age out within a week.
WhatsApp & phone contact
If you contact us via the WhatsApp buttons, WhatsApp (Meta Platforms Ireland Ltd.) processes your message data under its own privacy policy. We see your name/number and what you write to us, and use it only to provide the service you're asking about.
Payments (Stripe)
Payments are processed by Stripe Payments Europe Ltd. Your card details go directly to Stripe and never touch our servers. We receive and store a confirmation record (amount, time, and the name, email and phone number you enter at checkout) to fulfil the contract and meet bookkeeping duties (Art. 6(1)(b) and (c) GDPR). We ask for the phone number so we can actually reach you about appointments.
Cookies & consent
Strictly necessary storage that works without consent: your cookie decision itself, a cookie remembering which design version (A/B) you were shown, and your checklist progress (stored only in your browser). Everything below only runs after you click "Accept all" in the cookie banner, and you can withdraw at any time via "Cookie settings" in the footer (Art. 6(1)(a) GDPR, §25 TTDSG).
Analytics (PostHog, EU-hosted)
We use PostHog (hosted in the EU) to understand how the site is used — pages viewed, clicks, scrolling, and time on page. Without consent this runs in a strictly anonymous, cookie-free mode: nothing is stored on your device and sessions cannot be linked to you or to each other. With consent, PostHog additionally stores an identifier in your browser so repeat visits can be recognised.
Advertising measurement (Meta Pixel)
Only with your consent, we load the Meta Pixel (Meta Platforms Ireland Ltd.) to measure whether our ads work — e.g. that a visit or purchase followed an ad click. Meta processes this data also for its own purposes and may transfer it outside the EU. Withdraw anytime via "Cookie settings" in the footer.
Customer management
When you become a customer, we keep your name, contact details, the preferences you gave us in the form above, and the practical progress of your search (e.g. which practices we contacted, the appointment options we found for you and the order you put them in) in your portal account on our server in the EU. This can include short internal notes we write for ourselves about the practical side of your search. Logistics such as scheduling also live in a spreadsheet hosted with Google under its GDPR data-processing agreement. We deliberately do not record health information in either place: anything about your therapy needs stays between you and us in conversation, and with your therapist. Records are deleted when they're no longer needed for the service or required by law.
Your rights
You have the right to access, correct, delete, and receive a copy of your data, to restrict or object to processing, and to complain to a supervisory authority. Contact us at [email protected] to exercise any of these.
